Meeting Minutes
Monday, October 20, 2014

Also Attending: Neil Andres, DPW Superintendent, Laurie Gillespie-Lee, Administrative Assistant
The meeting was called to order at 9:07 AM.
The meeting began with a review of the design of the Water Project Updates section of the town website. Laurie Gillespie-Lee joined the meeting and walked the committee members through the design and user interface for the new section of the website. The committee agreed that the design was in line with expectations.
Ms. Vanderhoef advised the committee that three responses to the Independent Project Manager RFP had been received prior to the deadline. Two other bids did come in after the deadline, but were rejected as competitive bidding regulations require that all bids must be received at or prior to the deadline in order to qualify for consideration.
The responses were distributed and the committee agreed to hold a review session on Monday, October 27th and conduct interviews with the bidders on Wednesday, October 29th.
Ms. Vanderhoef distributed a letter from EPG to George Price, Superintendent of the National Seashore. The letter described and outlined the planned water main activities on two Seashore owned roads, Nauset and Cable. The town is seeking the Seashore’s permission to do the planned work on these roads such that the project can stay on schedule.
The committee continued discussion on the construction oversight hours contained in the EPG proposal. Mr. Guidi explained that he is merely looking for verification of the dollars/hours that EPG has allotted for this work. The committee could not come to a resolution as to how to satisfy Mr. Guidi’s concern. The matter was tabled for future discussion.
The Committee agreed that the next regular meeting will be held on November 3rd with special sessions on October 27th and 29th for the project manager proposals.
The meeting adjourned at 10:11 AM.
